We are looking for an experienced Dental Practice Manager to lead our Hempstead practice.

This is a hands-on management role. We need someone who understands how to run a dental office, lead a team, manage patient flow, stay on top of insurance and collections, and make sure the practice operates well every day.

Fluency in both Spanish and English is required. Prior experience working in a dental practice with a meaningful Medicaid patient population is also required.

Our Hempstead office is an 8-operatory, multi-provider practice serving a diverse patient population with a mix of Medicaid and other insurance patients.

The practice is not overly busy yet, which actually creates a strong opportunity for the right manager. You will have time to learn the office, establish good systems, build relationships with the team and providers, and get the fundamentals right before patient volume increases. We are investing in the practice and expect it to grow.

The Practice Manager will also have centralized revenue-cycle and operational support, but needs to fully understand what is happening inside the practice and take ownership of results.

What you'll be responsible for

• The Practice Manager is responsible for the overall day-to-day operation of the office, including the patient experience, team performance, schedules, collections and front-office execution.
• You should be comfortable personally managing and overseeing:
• Medicaid eligibility, benefits, prior authorizations/predeterminations and required documentation
• PPO insurance verification and understanding patient benefits
• Patient ledgers, balances, insurance estimates and outstanding amounts
• Reading a patient ledger and understanding what has been charged, paid, adjusted and remains outstanding
• Investigating balances when something does not look right rather than simply repeating what appears on the screen
• Patient collections, including copays, deductibles, balances and treatment payments
• Treatment-plan presentation and helping patients understand both recommended care and their financial responsibility
• Following unscheduled treatment and making sure patients are contacted and brought back into the practice
• Reappointing hygiene patients before they leave and maintaining a strong continuing-care schedule
• Keeping doctor and hygiene schedules full and productive
• Actively managing cancellations, no-shows and open appointment time rather than allowing holes to remain on the schedule
• Making sure patients are confirmed and contacted appropriately
• Monitoring patient flow throughout the day and addressing bottlenecks quickly
• Making sure front-office responsibilities are clearly assigned and completed
• Understanding what is outstanding from the patient versus insurance
• Knowing when an insurance or billing issue should be resolved at the practice and when it should be escalated to our centralized RCM team
• Making sure predeterminations and prior authorizations do not simply get submitted and forgotten
• Maintaining accurate notes and ensuring unresolved patient issues are followed through to completion
• Managing and developing the front-office team and holding people accountable for their responsibilities
• Partnering effectively with doctors, hygienists, dental assistants and centralized support teams
• Setting expectations around attendance, punctuality, professionalism and patient service
• Helping create an organized, accountable and positive office culture
• Understanding the basic operating performance of the practice, not simply completing administrative tasks

Requirements

What we're looking for

• Prior dental practice management experience is strongly preferred.
• Prior experience working in a dental office with a significant Medicaid patient population is required.
• Spanish and English bilingual fluency is required. This needs to be someone who can communicate comfortably and professionally with both patients and team members in either language.
• We are especially interested in someone who:
• Takes ownership of the practice rather than waiting to be told what to do
• Has strong dental front-office and operational experience
• Understands Medicaid dental workflows and the importance of eligibility, authorizations and documentation
• Can read and understand a patient ledger and investigate a balance when something does not make sense
• Is comfortable discussing money with patients professionally and directly
• Understands treatment planning and can help patients move forward with recommended care
• Knows how to manage a productive doctor and hygiene schedule
• Understands the importance of reappointment, recall and following unscheduled treatment
• Can manage a team, establish clear expectations and follow up when something isn't getting done
• Notices problems early and addresses them rather than allowing them to build
• Is organized, responsive and dependable
• Arrives on time and expects the same level of accountability from the team
• Can handle a fast-moving environment without losing track of details
• Communicates well with patients from a wide range of backgrounds
• Can balance a strong patient experience with the operational and financial needs of the practice
• CareStack experience is a strong plus, but it is not required if you have substantial experience with another dental practice-management system and are comfortable learning new technology quickly.
• Training and support
• We want the selected candidate to be properly set up before taking full ownership of the practice.
• The selected Practice Manager will receive approximately one week of training away from the practice, working one-on-one with members of our operations team.
• This training will include our practice-management software, timekeeping system, reporting tools, manager-related systems and workflows, as well as how we expect our practices to operate.
• Our operations team includes people who have previously worked as dental Practice Managers themselves, so the training is practical and based on actually running dental offices.

The goal is for the new manager to return to Hempstead with a clear understanding of the systems, expectations and resources available to them rather than having to figure everything out alone.

Raio Dental Hempstead is an established 8-operatory, multi-provider dental practice located at 250 Fulton Ave, Suite 320 in Hempstead, New York.

We serve a diverse community and are looking for a Practice Manager who understands both the clinical-office environment and the needs of a Medicaid patient population.

The practice is not yet operating at full patient capacity, giving the incoming manager a good opportunity to get established, learn the team and providers, improve systems and create a strong operating foundation before volume increases.

The practice is part of a growing dental organization that is investing in its practices, technology, staffing and patient experience. The Practice Manager will have access to centralized revenue-cycle and operational support while retaining responsibility for making sure the practice executes well every day.
